Make tournament apparel easier for everyone. Your players, families, volunteers, and fans can order online, pay individually, and receive custom event gear without paper forms or cash collection.

Why use an online store?

Best for pre-selling event merch, simplifying orders, and reducing leftover inventory after event day.

Tournaments already have a lot of moving parts. Between registration, schedules, volunteers, venues, and communication, collecting apparel orders manually can become one more stressful job. An online store helps remove the extra admin by letting each person order and pay for their own items.

How it Works

You organize the group; we organize the orders.

1. Tell Us About Your Group

Fill out our online inquiry form and tell us the basics: what you’re shopping for, who needs clothing, personalization, fundraising, important dates, delivery needs, sorting requirements and any special requests.

2. Meet With Us to Plan Your Store

Meet with Janet to choose products, look at samples and plan the details. Can’t make it to VH Sport? No problem—we can recommend products online. You’ll also send us your logos.

3. Approve the Plan

Before we move ahead, you’ll approve your products, logos, decoration and layouts. You’ll also review a store preview so you know exactly what your group will see before the store opens.

4. We Build Your Online Store

We finish building your VH Online Store with your approved products, personalization, fundraising, coupon codes and special instructions. Your organizer gets portal access, a shareable store link and tools to help promote it.

5. Your Group Shops Online

Share the link and let everyone shop! Each person chooses their own products, sizes, colours and personalization, then pays online themselves. Most VH Online Stores stay open for about two weeks.

6. We Produce, Pack & Organize

Once your store closes, we order the blank products and start production. Everything is decorated, checked and individually bagged with each shopper’s receipt, then organized into any predetermined groups you requested.

7. Pick It Up or We Ship

We’ll email you when everything is ready, typically about 3 weeks after your store closes. Pick up your organized order at VH Sport, or arrange grouped shipping to predetermined locations.

Good to Know: We don’t ship individual orders to each shopper. If your organization has multiple teams, departments or branches, we can sort and package orders by group to make distribution much easier.

Good to Know Before We Start

Before we get started, here are the key details about timelines, product selection, order minimums, and pickup.

What is the minimum total sales needed?

Online group stores work best when they are planned ahead and promoted well. New stores require a commitment to reach $1,500 in product sales before fundraiser markups. If a new store does not reach that amount, a $200 setup fee applies. Repeat stores are exempt from this minimum.

When should we start this?

For tournament stores, we recommend contacting us about two months before your event. Simple stores can often be set up a little faster, and we usually keep the shopping window closer to the tournament itself. People tend to decide they’re attending—and want the event shirt—fairly last minute, so timing the store closer to the event can work really well.

How will everyone's order be shipped?

We don’t ship individual tournament orders. Everything is polybagged and organized for one group pickup. For team-based tournaments, we recommend using a team-name dropdown in the store so orders can be sorted by team. If people are simply collecting their own bags at registration, that works too—the full order is still picked up by one organizer and brought to the event.

What sorting options work best?

Can we add a Fundraising markup?

Tournament stores can include a fundraising amount on selected products. This can help support event costs, team travel, athlete development, or future programming.

Can we use coupon codes?

We can set up coupon codes or store credits for key volunteers. If a tournament shirt is already included in the registration fee, we can also make it a $0 item in the store and bill the organization separately, so parents can simply select the correct size without having to pay again.

How many items is best?

Stores are limited to a maximum of 20 products, although smaller groups often perform better with a focused selection of 5–10 items. Once a store is open, products cannot be added, so we will finalize the product lineup before launch.

RECOMENDED PRODUCTS

For tournaments and events, we recommend keeping the store simple with T-shirts, hoodies, and hats. Most people already have their regular team gear, so this is less about building a full wardrobe and more about creating something that marks the occasion. A good event piece becomes part of the memory—and something people are happy to keep wearing afterwards.
